Privacy Policy

CrewSocials ("we", "us") operates a closed network for verified airline crew and aviation professionals. This policy explains what data we collect, why, and your rights under the EU GDPR, UK GDPR and equivalent laws.
1. Information we collect
- Name
- Email address (typically a work email)
- Airline / employer
- Crew role (e.g. cabin crew, pilot, ground staff)
- Profile information — base airport, bio, photo, languages, optional social handles
- Messages posted in public chats, lounges and activity chats
- Activities you join, create, host or are invited to
- Device information — IP, device type, browser, session and auth logs
- Location information — city presence, layovers and approximate location when permitted by your device
- Moderation data — reports submitted or filed against you, appeals, warnings
2. Public Chat Data
Messages posted within lounges, activity chats and other community spaces are visible to authorised members of those spaces and may be reviewed by moderators when investigating reports, safety concerns, policy violations or legal obligations. Do not post anything in community spaces that you would not want a moderator to read.
3. Moderation Access
CrewSocials may access and review platform content (including messages, profiles, reports and activity context) where reasonably necessary for safety, moderation, abuse prevention, dispute resolution, legal compliance or platform operations. All moderator access to user content is logged for auditability.
4. Location Data
We use location information to:
- Calculate distances between users, layovers and activities
- Show nearby activities, meetups and lounges
- Surface relevant local experiences
You can disable precise device location at any time in your device settings. City-level presence remains controlled from within the app.
5. Third-Party Links (Viator & others)
When users choose to access third-party services such as Viator, they leave the CrewSocials platform and become subject to the privacy policies and terms of those third parties. We are not responsible for the data practices of third-party providers.
6. Affiliate Tracking
Affiliate links displayed in CrewSocials may contain tracking identifiers used to attribute referrals and commissions to CrewSocials. These identifiers do not expose additional personal information beyond what the third party already collects when you visit their site.
7. How we use your data
- Verify that you are airline crew or an aviation professional
- Match you with other crew in the same city, hub or activity
- Deliver chat, notifications and account emails
- Investigate reports, enforce community rules and keep the network safe
- Comply with legal obligations and respond to lawful requests
8. Legal bases
We process data under the legal bases of contract (to provide the service you signed up for), legitimate interest (safety, moderation, abuse prevention), consent (optional features such as device location or social linking) and legal obligation.
9. Data sharing
CrewSocials does not sell personal data. We share data only with the processors needed to operate CrewSocials (hosting, database, email delivery, error monitoring, analytics). We may disclose data to comply with a binding legal request, to enforce our Terms, or to protect users from imminent harm.
10. Retention
- Account data — kept while your account is active.
- City lounge messages — purged shortly after presence ends.
- Activity chats — deleted a short period after the activity ends.
- Moderation records — kept up to 24 months for safety, appeals and legal defence.
- Deleted accounts — profile content is removed; minimal records may be retained for abuse prevention and legal obligations.
11. Your GDPR rights
You have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion ("right to be forgotten")
- Restrict processing
- Object to certain processing
- Data portability — export your data in a portable format

12. Security
Data is encrypted in transit. Access to sensitive content (chats, reports) is restricted to authorised moderators on a least-privilege basis and every access is logged.
13. Children
CrewSocials is not intended for users under 18. We do not knowingly collect data from minors.
14. Changes
We will notify you of material changes via email or in-app notice. Continued use after a change means you accept the updated policy.
